Position Overview

The Crew Scheduler is responsible for the planning, coordination, and execution of efficient and compliant flight and cabin crew schedules. This role ensures all flights are staffed appropriately while adhering to regulatory, contractual, and operational requirements. In addition to scheduling duties, the Crew Scheduler also manages crew travel logistics — including hotel bookings, ground transportation, and positioning flights — ensuring crews arrive rested, compliant, and ready for duty. This position requires strong communication skills, attention to detail, and the ability to perform under pressure in a 24/7 operational environment.

Key Responsibilities

  • Crew Scheduling & Coordination
    • Develop, maintain, and publish flight and cabin crew rosters in accordance with company policies and flight time limitations (FTL) regulations.
    • Ensure every flight is staffed with qualified personnel based on aircraft type, destination, and operational requirements.
    • Monitor crew duty and rest periods to ensure compliance with FAA or other local regulations.
    • Coordinate changes to crew rosters due to delays, illness, training, or operational disruptions (IROPs).
    • Communicate promptly with crew regarding changes, reassignments, and flight coverage updates.
    • Work closely with dispatch, maintenance, and operations control to align crew availability with operational readiness.
  • Crew Travel & Logistics
    • Arrange and manage crew travel accommodations, including hotels, ground transportation, and airline positioning (deadhead) flights.
    • Ensure that all travel arrangements comply with company policy, collective agreements, and safety standards.
    • Monitor crew movements and ensure timely arrival at base or layover stations.
    • Coordinate with travel vendors, crew transport providers, and hotel partners to secure cost-effective, reliable services.
    • Track and resolve travel-related disruptions such as missed flights, layover changes, or transport delays.
    • Maintain accurate records of crew travel itineraries and expenses.
    • Support crew members during irregular operations by rebooking travel and accommodations as required.
    • Liaise with accounting or finance to ensure accurate billing and reconciliation of travel-related costs.
  • Compliance & Documentation
    • Maintain accurate records of crew duty and rest times for internal and regulatory audits.
    • Track crew certifications, training, and medical validity to ensure eligibility for flight assignments.
    • Ensure compliance with FAA, ICAO, and other governing regulations.
    • Generate reports on crew utilization, fatigue trends, and travel expenditures.
  • Operational Support
    • Act as the main contact for crew during active operations, assisting with schedule clarifications, travel coordination, and issue resolution.
    • Participate in operational briefings and coordinate with departments to ensure resource readiness.
    • Support irregular operations (weather, AOG events, last-minute diversions) by providing crew and travel solutions.
  • Systems & Process Management
    • Utilize crew management software (AIMS, Jeppesen, CrewTrac, Sabre, NetLine, etc.) to manage schedules and travel details.
    • Identify and recommend process improvements to enhance efficiency and reduce travel costs.
    • Ensure data accuracy and synchronization between scheduling and travel management systems.

Qualifications & Requirements

  • Bachelor’s degree in Aviation Management, Business Administration, Transportation, or related field preferred.
  • Equivalent experience in aviation operations, dispatch, or scheduling accepted.
  • Minimum 2 years of experience in crew scheduling, crew logistics, or flight operations.
  • Experience arranging crew travel (airfare, hotels, transport) strongly preferred.
  • Familiarity with FAA Part 121/135 or EASA FTL regulations.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in aviation scheduling software and Microsoft Office Suite (Excel, Outlook, Teams).
  • Ability to multitask and remain calm under pressure in a fast-paced environment.
  • Analytical and detail-oriented, with strong problem-solving capabilities.
  • Flexibility to work rotating shifts, weekends, and holidays as part of a 24/7 operations team.
  • Must possess an active Secret (or TS/SCI) security clearance or be eligible to obtain one.
