Position Overview
M.D. Home Health is seeking a dependable, detail-oriented Office Operations Assistant to support front-office workflow and essential administrative tasks. This role ensures smooth daily operations by handling phone communication, document processing, and basic clerical duties. The ideal candidate is professional, organized, and comfortable working in a healthcare environment.
Front Office Operations
Answer incoming phone calls and route messages promptly and professionally
Greet visitors, vendors, and delivery personnel
Accept, log, and distribute mail, packages, and medical deliveries
Clinical Documentation Support
Open nursing, therapy, and aide visit notes in the EMR
Fax Plans of Care (POCs), physician orders, and other clinical documents
Track fax confirmations and follow up as needed
Upload referrals, authorizations, POCs, orders, and related documents into patient charts
Ensure documents are labeled and filed according to agency standards
Medical Supply Management
Track and maintain inventory of wound care items, PPE, and other medical supplies
Restock supply shelves and update inventory logs regularly
Prepare and dispense supplies to field nurses according to their requests or patient needs
Report low stock or supply shortages to the Office Manager
Assist with organizing supply orders and deliveries
General Clerical Tasks
Scanning, copying, printing, and maintaining organized files
Keeping the office workspace neat and orderly
Supporting office workflow with other administrative tasks as assigned
Qualifications
High school diploma or equivalent
Previous administrative or office experience preferred
Healthcare or home-health experience is a plus
Strong phone etiquette and communication skills
Comfortable with basic computer tasks (email, scanning, uploads)
Able to follow procedures accurately and maintain confidentiality
Reliable, punctual, and able to manage multiple priorities
